Author name: Admin Publication date: 2025-06-29 Article category: business and self-employment

What is DATEV Unternehmen online?

DATEV Unternehmen online is a secure digital platform operated by the accountants’ cooperative DATEV eG. It is used to:

  • send purchase and sales invoices electronically

  • share POS (cash register) data + daily receipts with the Steuerberater (tax advisor/accountant)

  • manage bookkeeping and taxes directly in a digital environment

Why connect your POS system (cash register) to DATEV?

Benefit Description
Automatic transfer of daily Z-Bons Every daily Z-report is uploaded without manual intervention
Reduction of human errors No need to enter each invoice manually
Time savings for the shop owner No more monthly sorting and filing of paper documents
Cost reduction Less manual work for the accountant – often resulting in lower monthly fees
Compliance with GoBD and Kassensicherungsverordnung Full legal compliance with proper digital archiving

How is the POS system connected to DATEV?

  1. Compatible POS device

You need a POS system that supports a DATEV interface (DATEV-Schnittstelle) (for example: Vectron, orderbird, ready2order, Gastrofix...).

Ask your provider explicitly:
Does the system support “DATEV-Export” or “DATEVconnect online”?

  1. DATEV Unternehmen online account

This account is usually set up by your Steuerberater, and includes:

  • a username

  • a SmartCard or mIDentity Stick (for secure authentication)

  • permissions for uploading data and invoices

  1. Setting up the export from the POS system

  • Export a daily file (e.g. Kassenbericht, Tagesabschluss)

  • Save it in CSV / XML / DATEV format

  • Upload it automatically or manually to DATEV via DATEV Unternehmen online

  1. Linking to cloud storage

Some systems can connect directly to the DATEV Cloud, so that:

  • invoices and Z-Bons are transferred automatically, without any user intervention.

Note on GoBD:

All transmitted data must be:

  • unveränderbar (unalterable) after being stored,

  • nachvollziehbar (traceable and comprehensible) for every transaction,

  • revisionssicher (audit-proof) in terms of archiving and later tax audits.

Tip:

Ask your Steuerberater to prepare a short step-by-step guide for you, such as:

“How do I send my POS invoices to DATEV in two steps?”

You can also activate the feature automatisierte Vorerfassung so that invoices are automatically pre-classified by type (purchases, sales, services, etc.).
